Maintenance KPIs and Reporting in Odoo

Maintenance, like production, should be measured. The KPIs and reporting that show how well maintenance is working in Odoo.

Maintenance is an activity that costs effort and is meant to deliver reliability. Like any such activity, it should be measured. This piece is about maintenance KPIs and reporting in Odoo.

Why measure maintenance

A manufacturer does maintenance to keep equipment reliable, and that effort has a cost. Measuring maintenance answers the questions a manufacturer should be able to answer: is the maintenance working, is equipment reliable, where are the problems, is the situation improving? Without measurement, maintenance is just an activity that happens, and a manufacturer cannot tell whether it is doing enough, too much, or the wrong things. Maintenance KPIs and reporting turn maintenance into something measured and therefore manageable.

What maintenance reporting draws on

Maintenance reporting draws on the record that maintenance activity leaves. Every maintenance request, preventive and corrective, every piece of equipment, every maintenance carried out, builds up a record in Odoo's Maintenance application. Reporting analyses that record. So, as with everything in a connected system, the value of maintenance reporting depends on maintenance being recorded properly, requests raised, maintenance carried out and recorded, against accurate equipment records. Faithful recording is what makes the reporting meaningful.

The kinds of things to measure

Maintenance KPIs and reporting let a manufacturer see things such as: how much maintenance there is, and the balance between planned preventive maintenance and reactive corrective maintenance; which equipment generates the most maintenance, and the most problems; how much downtime is attributable to maintenance and to breakdowns; and how reliable the equipment is. The reliability questions in particular are commonly expressed through specific equipment reliability measures, which a separate piece covers. Together, these measures describe how well the maintenance function is working and how reliable the plant's equipment is.

The preventive-versus-corrective balance

One of the most telling things maintenance reporting shows is the balance between preventive and corrective maintenance. A manufacturer doing a healthy amount of planned preventive maintenance and relatively little reactive corrective maintenance is in a good place: it is preventing problems rather than chasing them. A manufacturer whose maintenance is mostly corrective, constant reactive repair, is firefighting, and the reporting makes that visible. The balance is a KPI worth watching, because shifting it toward preventive is one of the clearest maintenance improvements a manufacturer can make.

Where maintenance trouble concentrates

Maintenance reporting also reveals concentration. Just as quality problems concentrate, maintenance trouble concentrates: a small number of pieces of equipment usually account for a large share of the problems and the downtime. The reporting identifies that equipment, and that is where attention is needed, more preventive maintenance, repair, or eventually replacement. A manufacturer that uses maintenance reporting to find its problem equipment is directing its maintenance effort where it matters; one that does not is spreading effort evenly over equipment that does not all need it equally.

From reporting to improvement

The point of maintenance KPIs and reporting, as with all reporting, is improvement. The reporting shows the state of maintenance and the equipment; the manufacturer then acts, shifting toward preventive maintenance, addressing problem equipment, adjusting maintenance frequencies. And the reporting, reviewed regularly, shows whether the actions worked. Maintenance reporting reviewed and acted on steadily improves equipment reliability and reduces unplanned downtime. Maintenance reporting produced and ignored is just a record.

The takeaway

Maintenance KPIs and reporting in Odoo measure how well maintenance is working, drawing on the record of maintenance requests, equipment, and maintenance carried out. They reveal the volume of maintenance, the telling balance between preventive and corrective, the downtime attributable to maintenance and breakdowns, equipment reliability, and where maintenance trouble concentrates. The reporting depends on faithful recording, and its purpose is improvement: review it regularly, act on what it shows, shifting toward prevention and addressing problem equipment.
